WHAT WE COVER

What We Provide for Managing Agents

Managing agents are judged on complaints, costs and paperwork. The right cleaning contractor makes all three easier, by delivering consistently and by leaving a record of what was done.

What should a managing agent expect from a communal cleaning contractor?

A written scope for each building, an agreed visit frequency, timestamped photo reports after each clean, vetted cleaners, cover for absences and a flexible contract. The aim is a record you can use when a leaseholder asks what the service charge pays for.

Residential Block Portfolios

The same checklist and photo-reporting standard across the blocks you manage, so reporting is consistent from building to building.

RTM and RMC Directors

Plain-English scopes and visible reporting for resident-run companies without a dedicated property manager.

Mixed-Use and Commercial-Residential Buildings

Shared entrances, lifts and corridors in buildings with both residential and commercial occupiers.

Estate Offices and Managed Developments

Estate management offices, reception and communal facilities on larger developments.

Switching Contractor

A free survey, a clear written scope and flexible terms make changing contractor lower-risk. See our guide to switching cleaning company.

Void and Handover Cleans

End-of-tenancy and handover cleaning is available through our end-of-tenancy service where a unit needs turning around.

We cover Greater London, Central London, South London, North London, East London, West London and the surrounding streets.

In leasehold blocks, communal cleaning is normally recovered through the service charge. Section 19 of the Landlord and Tenant Act 1985 limits recovery to costs reasonably incurred for services of a reasonable standard, and leaseholders can challenge charges at the First-tier Tribunal. A dated, photographed record of what was cleaned is the simplest way to show the service was delivered.

WHAT BUYERS WORRY ABOUT

What Managing Agents Commonly Worry About

These concerns come up repeatedly in property-management and leaseholder discussions about communal cleaning contractors.

Leaseholder complaints about cleaning they can’t see

Timestamped photo reports against an agreed checklist give you a record to share when residents question the service.

The risk of changing contractor

Switching feels risky when the current service is patchy. A free survey and a written scope set out the new service in advance, and flexible contracts mean you are not locked in if it falls short.

Compliance paperwork

Vetting and insurance evidence matter to your files. Our cleaners hold their own DBS checks with evidence on request, and we can share insurance details at the survey. Tell us what your compliance file requires and we will confirm what we can supply.

Missed visits across a portfolio

Staff absence cover is part of the service, so one sick day does not turn into a complaint.

HOW WE WORK

What You Can Expect From Klean Touch

01

Proof of work with timestamped photo reports

Every visit is backed by a checklist and timestamped photo reporting, so you can see what was done without inspecting the building yourself.

02

Cover when your cleaner is off

Staff absence cover is part of the service, so a sick day or holiday does not mean a missed clean.

03

DBS-checked cleaners

We only work with cleaners who hold their own DBS checks, and we can provide evidence on request.

04

A clear scope before you commit

Your proposal sets out exactly what is cleaned, how often and when, so there are no surprises on the first invoice.

05

Flexible contracts

No long, rigid lock-ins. Frequency and scope can be reviewed as your needs change.

06

Out-of-hours shifts

Early mornings, evenings or weekends, planned around your building’s access rules and your team’s working pattern.

ONBOARDING & DELIVERY

How It Works

01

Free Site Survey

We visit to look at the layout, floor types, access hours and building rules, so the proposal reflects the real building.

02

Clear Proposal

You receive a written scope with frequencies, room-by-room tasks and what is and is not included.

03

Onboarding

We agree key, fob and alarm procedures and brief the team on building rules before the first clean.

04

Ongoing Cleaning and Reporting

Regular cleans are backed by timestamped photo reports, and the scope can be adjusted as your needs change.

QUESTIONS BUYERS ASK

Frequently Asked Questions from Managing Agents

How do you help reduce leaseholder complaints about communal cleaning? ↓

Each clean is documented with timestamped photo reports against an agreed checklist, so you can see what was done without walking the building yourself. That record lets you answer a complaint with facts instead of reassurance.

Can your reporting support us if a leaseholder challenges the service charge? ↓

Dated photo reports and checklists show what was cleaned and when, which supports your position that the service was delivered. The legal test is for the tribunal, but a clear record is the best evidence an agent can have.

What vetting and insurance information can you provide? ↓

We only work with cleaners who hold their own DBS checks, and we can provide evidence on request. Our commercial cleaning is insured, and we can share the details at the survey stage. Tell us what your files require and we will confirm what we can supply.

What happens when a cleaner is absent? ↓

Staff absence cover is part of the service. If your regular cleaner is off sick or on holiday, cover is arranged so the clean still happens.

How do I change contractor without a gap in service? ↓

Start with a free survey, agree the written scope and a start date, and set up keys and access during onboarding. Our guide to switching cleaning company sets out the steps in more detail.

Are we locked in if the service doesn’t work out? ↓

No. We use flexible contracts rather than long, rigid lock-ins, with review points so frequency and scope can change as your needs do.

Can you work alongside our existing caretaker or concierge? ↓

Yes. Boundaries between their tasks and ours are set out in the written scope, and keys and access are agreed during onboarding.

Do you charge for surveys across multiple buildings? ↓

Yes. Site surveys are free and carry no obligation, and the proposal that follows sets out the scope in writing.

Can you deal with damp, mould or repairs we find in a block? ↓

We provide commercial cleaning. We do not carry out repairs, building surveys, damp-proofing or mould remediation, and we do not offer domestic cleaning. We can photograph and report what we see on a visit so the right contractor can act.
